KovaChatBots (“Kova”, “we”, “us”, or “our”) is operated by a student startup team based in Canada. We provide AI-powered chatbot services for small and medium-sized businesses.

Account information: When you sign up, we collect your name and email address.

Billing information: Payment details are processed and stored by Stripe. We do not store your credit card number.

Chatbot content: Any content you upload to train your chatbot (FAQs, documents, URLs) is stored on our servers.

Conversation data: Chat messages between your visitors and your Kova-powered chatbot are stored to power the service and provide analytics.

Usage data: We collect basic usage data (pages visited, features used) to improve the product.

We do not sell your personal data to third parties.

We use the following third-party services to operate KovaChatBots:

• OpenAI — powers the AI responses in your chatbot. Chat messages may be processed by OpenAI's API.
• Stripe — handles payment processing.
• Vercel — hosts our platform and website.

We use essential cookies to keep you logged in and maintain your session. We do not use advertising or tracking cookies.

You can disable cookies in your browser settings, but some parts of the service may not function correctly as a result.

We retain your account data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or billing purposes.

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Withdraw consent at any time

We implement industry-standard security measures including HTTPS encryption, secure HTTP headers, and access controls. However, no system is completely secure. We encourage you to use a strong, unique password for your account.

KovaChatBots is not directed at children under 13. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us immediately.

We may update this Privacy Policy from time to time. We will notify registered users by email of any material changes. Continued use of the service after changes are posted constitutes acceptance of the updated policy.
